Field Data Collection for Facility and Energy Audits

Field data collection is the process of gathering information directly from a building or site, equipment inventories, condition assessments, utility records, occupancy data, rather than relying on assumptions, outdated records, or estimates. For facility and energy work specifically, that means documenting what equipment exists, its age and condition, how spaces are actually used, and what the building's systems are doing day to day, in a form structured enough to actually be used afterward.

Why It's the Foundation of Everything Else
Benchmarking depends on accurate floor area and utility data. Baselining depends on clean historical consumption and operating data. An ASHRAE energy audit, at any level, depends on an accurate equipment inventory and condition assessment. A CMMS and preventive maintenance program depends on a reliable asset registry. None of these work well on bad underlying data, and field data collection is where that data either gets captured accurately or doesn't.

The traditional approach, paper forms, clipboards, and manual data entry back at the office, introduces error at nearly every step: illegible handwriting, transcription mistakes when data is entered again, missing fields, and a lag of days or weeks between when data is collected and when it's usable.
